Assistant Company Administrator and Messenger (Half-Day)
Position Title: Assistant Company Administrator
Location: Gibraltar
Reports to: Company Administrator(s)
Job Overview:
The Assistant Company Administrator is a key support role responsible for ensuring smooth day-to-day operations in both general office management and company administrative functions. The position combines clerical duties, messenger responsibilities, and support for corporate administration tasks, including those related to marine matters. The successful candidate will be highly organised, adaptable, self-motivated, and capable of handling a busy office environment with professionalism and attention to detail.
Core Responsibilities:
Company Administration & Marine Matters
• Support Company Administrators with the incorporation and ongoing management of a portfolio of companies across multiple jurisdictions (Gibraltar, UK, BVI, USA, Hong Kong, etc.).
• Prepare and file annual returns and statutory documents according to jurisdictional deadlines.
• Manage client correspondence and ensure timely and compliant filings.
• Assist with due diligence and compliance matters in line with local laws.
• Attend to marine-related administrative duties as assigned.
General Office Administration
• Meet and greet visitors at all levels of seniority.
• Answer telephone calls, take messages, and route communications appropriately.
• Manage filing, archiving, scanning, shredding, and data handling.
• Organise and maintain company documents and filing systems.
• Open, date-stamp, scan, and distribute incoming post and manage courier logistics.
• Monitor and reorder office and kitchen supplies (e.g., stationery, drinks, cleaning products).
• Keep the office, meeting rooms, kitchen, and filing areas neat and tidy.
• Attend to administrative needs related to company vehicles (e.g., MOT bookings, parking permits).
Facilities, Maintenance & Messenger Duties
• Perform messenger duties, including visits to Companies House, Notary, Post Office, and other official entities.
• Check and maintain boardroom readiness (magazines, water, glasses, lighting).
• Ensure functionality of clocks, lighting, and printers (e.g., stocked with paper).
• Liaise with and supervise maintenance personnel, cleaners, and suppliers to uphold high service standards.
• Stock stationery room, kitchen, and fridge; report low inventory for reordering.
• Attend to recycling (e.g., empty water bottles) and rubbish disposal (e.g., shredding bags).
• Care for office plants and handle basic DIY tasks (e.g., moving furniture, replacing light bulbs).
Skills & Requirements
• Proficiency in Microsoft Office (Word, Excel, Outlook).
• Knowledge of ViewPoint is an advantage.
• Excellent organisation and time management.
• Strong communication and interpersonal skills.
• Proactive, adaptable, and willing to learn.
• Comfortable with multi-tasking in a dynamic environment.
• Capable of performing light physical tasks (e.g., lifting items, climbing ladders).
